For Reservations

To make a reservation, the company requires a payment of 50% of the total tour cost by the client using our authorized payment methods (Visa, PayPal, Western Union, or Bank Transfer). The remaining 50% of your tour must be paid in cash in U.S. Dollars to the assisting staff on the first day of your arrival in the city of Cusco. To confirm the reservation, the following information is required for each passenger traveling:

  • Full Name.
  • Passport Number.
  • Nationality.
  • Age.
  • Gender.

It is recommended to report allergies, illnesses, passenger conditions, specific characteristics, food preferences, etc. Once the prepayment is made, our sales agent will send an email with the confirmation of the tour package chosen by the client; this email serves as a guarantee document for your reservation. After receiving the confirmation, the client must verify the content of the email in detail and respond to it. If your reservation includes accommodation nights, hotel confirmation is subject to space availability; if there is no space in the hotel specified in the confirmation email, the client will be provided with another of similar category and price. The company reserves the right to accept last-minute reservations (24 hours before the client’s arrival at the destination). In this case, the company will expressly indicate the special conditions of said reservation, which may include special schedules if applicable; these conditions must be by mutual agreement with the client and will be evidenced via email.

Tours and Itineraries

Itineraries are planned with great care and attention; however, for operational reasons, it may be necessary to change the order of activities or the specified route. While such cases are occasional, the itinerary should generally be assumed only as a basic guide. The company reserves the right to make modifications to the order of excursions or trips without prior notice due to weather conditions, river levels, arrival or departure times of planes, buses, or trains, or for any other relevant reason to guarantee your safety and the best development of your trip. In the event that itinerary activities undergo variations, are rescheduled at the last minute, or are canceled due to flight delays, social conflicts, bad weather, roadblocks, or any other inconvenience caused by third parties, the company is not responsible for issuing refunds to clients but commits to assisting the client in making modifications to their travel itinerary.

Changes and Modifications

Due to the Covid “Coronavirus” pandemic, we are very flexible with our cancellation policies: In the event that something happens during your trip and for any reason you cannot come to Peru or perform the tour, you will have the option to change and move the date of your tour and itinerary to any other date in the future without any additional tax or payment. This request to change the date or itinerary must be sent by email 20 days before the start of the tour. If a request for a date change or modification in the itinerary is received 15 days before the start of the tour, it will be subject to a penalty for operating expenses of USD $50.00 per person (Subject to availability). Changes to entrance fees for Waynapicchu and Machu Picchu Mountain have a penalty of USD $15.00 (Subject to availability). Date changes in hotels are subject to space availability and the policies of the establishment itself. Special Case – Inca Trail: Please note that for the Inca Trail tour, permits are non-changeable, non-transferable, and non-refundable. Dates can never be changed due to the government policy of the Ministry of Culture.

CANCELLATIONS

Based on our experience, a certain percentage of reservations are canceled by the client before starting their program due to unforeseen circumstances. Penalties for service cancellations will depend on the date of cancellation according to the list below:

  • 30 days or more before the tour start date: 30% of the deposit will not be refunded.
  • 25 to 16 days before the tour start date: 50% of the deposit will not be refunded.
  • 15 to 07 days before the tour start date: 80% of the deposit will not be refunded.
  • 06 to 0 days before the tour start date: 100% of the deposit will not be refunded.

A SPECIAL NOTE REGARDING INCA TRAIL RESERVATION CANCELLATIONS Advance payments for the different treks that include the Inca Trail (4 days/3 nights, 2 days/1 night, 5 days/4 nights, Salkantay, and Inca Trail 7 days/6 nights) are non-refundable. These costs include entrance tickets to the Inca Trail, porters, cooks, and train tickets. This is because services are reserved and paid for at the moment the reservation is made; therefore, the required deposit is non-refundable.

NO SHOW

We will retain the total amount and are not responsible for the client’s failure to appear due to the delay or cancellation of their flight. The company is not responsible for damage to or loss of luggage, accidents, unforeseen expenses, unavoidable delays, services provided by third parties, or direct causes beyond our control. In the unfortunate event of a no-show due to unforeseen causes, the company will provide a certificate to the client for processing with their insurance company.

IMPORTANT NOTE

In the event that the client abandons the tour for any reason, extra expenses are the client’s responsibility, and the company is not responsible for any refund.
